  1. Active 2020-2021 Girl Scout Membership.
  2. Approved background check on file, expiring on or after 10/1/2020.
  3. Complete Troop Cookie Manager Agreement.
  4. Attend a live Troop Cookie Manager Training session. 
    See training opportunities below for registration details.
  5. Complete Troop Cookie Manager Knowledge Check and achieve an 85% or higher.  The Troop Cookie Manager Knowledge Check link will be provided volunteers at the conclusion of their required training session.
  6. Ensure your troop's bank account is registered and that all is in order with your troop finances
    Tip: If you have previously registered your account, your troop should be good to go!

    ****If your troop would like to participate in My Sales and/or Council Booth Sales, the Troop Cookie Manager must complete the Booth Policy Video & Agreement.  This is a manual upload process and follows the GSNETX load schedule on Mondays, Wednesdays, and Fridays.****
Dates You Need To Know - Mark Your Calendar!
11/1 Troop Initial Pre-Season Order Opens in eBudde
Troop Cookie Managers can begin entering the troop's Initial Pre-Season Order in eBudde. Make sure to save, but do not submit until you're ready to finalize the order. 
11/14 My Sale Scheduling can begin!
Families and troops may begin approaching retailers, not listed as a council booth partner on the 2021 My Sale Request Form. Council partners include locations like Walmart, Kroger, Tom Thumb and more. Remember, all sales must follow the My Sale Request approval process, be entered in eBudde and approved by your local SU Cookie Program Coordinator.
11/19 Council Booth Signup Round 1 in eBudde
Troops may sign up for 3 Council Organized Booths in eBudde starting at 12:00 p.m.. There is a one chain limit per store in this round. For example, troops can sign up for one Albertsons, one Kroger and one Tom Thumb. Note: Walmart  & Kroger will not be loaded as a council booth partner until January 2021 based on COVID-19 guidelines with this partner.
11/22 Cookie Concierge Deadline
Troops who wish to participate in Cookie Concierge, where GSNETX pre-selects the pickup time and location based on the troop's preferences, prior to delivery selection opening to all troops, should place their Initial Pre-Season Order by 11:59 p.m.. On 11/23 qualifying troops would be sent the survey about their pick up preferences and they would have until 12:00 p.m. on 12/1 to submit that information. To qualify, Tier #1 is for Troops who order 250 cases or more on their Initial Order. Tier #2 is for Troops who have a 300+ PGA on their Initial Order. Tier #1 qualifying troops would be placed in slots first, Tier #2 would be placed in slots second.

No eBudde loads or customer service available during this time.
12/3 Initial Order Pickup Selection Opens
Troops can access eBudde at 12:00 p.m. to select the location, dates and preferred pick-up time for those who placed an Initial Pre-Season Order. This selection is made on the Delivery tab.
12/8 Initial Order Pickup Selection Deadline
By 11:59 p.m., troops who placed an Initial Pre-Season Order should select a location, date and preferred pickup time in eBudde on the Delivery tab.
12/10 Council Booth Signup Round 2 in eBudde
Troops may sign up for seven additional Council Organized Booths in eBudde starting at 12:00 p.m.. There is not a chain limit per store in this round. Note: Walmart  & Kroger will not be loaded as a council booth partner until January 2021 based on COVID-19 guidelines with this partner.
12/11 Digital Cookie Opens
Girls and families can begin logging in and setting up their sites. Once launched, customers will be able to start placing orders. More information will be provided in December.

Troop Initial Pre-Season Order due in eBudde
Troops who wish to place an Initial Pre-Season Order in eBudde must do so by 11:59 p.m., in order to be able to pick up cookies the first weekend of the Cookie Program in January.

If the troop placed an Initial Pre-Season Order, the Rewards Order is also due by 11:59 p.m., for the troop and should be submitted on the Rewards tab within eBudde. Make sure to check hoodie sizes for girls who are eligible!

Troop Rewards Settings Lock 
Troops who elect to receive rewards or Cadette, Senior and Ambassador (CSA) troops who are opting out of rewards for additional proceeds must do so on the settings tab within eBudde by 11:59 p.m. if they placed an Initial Pre-Season Order.

1/14-17 Initial Pre-Season Order Pickup 
Troops who placed an Initial Pre-Season Order pick-up their cookie order from the location listed on their Delivery Confirmation in eBudde on the date and time specified. Make sure to arrive 15 minutes early, have vehicles cleaned out, seats folded down, and that you have enough room to pick up all cookies ordered at the time designated. 
1/15 2021 Cookie Program officially begins! 
Girls may start taking orders, going door to door and participating in My Family Booth Sales.
1/20 Additional Cookie Pickup Begins
Does your troop need more cookies? Didn't place an Initial Pre-Season Order? Check out the Additional Cookie Pickup calendar (available in January) to see the locations, dates and times that our warehouses and trucks are open. New this year, all additional pickup locations require a pending order. If picking up additional cookies from a truck, designated on the calendar, don't forget that you must place a pending order by 12:00 p.m. two days prior, excluding Sundays.

3/7 Digital Cookie - Girl Order Websites Close
Digital Cookie will close for all orders placed through girl's shared links at 11:59 p.m.
3/11 Deadline to allocate cookies in eBudde
All troops, even those who are opting out of rewards must fully allocate all cookies in eBudde by 11:59 p.m.
3/11 Deadline to submit final rewards 
All troops, even those who are opting out of rewards, must submit their rewards order in eBudde by 11:59 p.m.. If a reward selection is note made for a girl, default selections will be made by GSNETX as the girl forfeits her ability to choose.
3/11 Deadline to submit Outstanding Funds Report (OFR)
Troops should never use troop funds to pay for a girl/family's cookie balance, who has not paid the troop. Doing so eliminates GSNETX's ability to collect on the troop's behalf. Troops who have girls with balances outstanding for the Cookie Program should always file an Outstanding Funds Report to ensure that the troop's rewards as a whole are not affected, only those with outstanding balances due. Outstanding Funds Reports are due by 11:59 p.m.

GSNETX will ACH draft 100% of the Council Proceeds as listed on the Sales Report Tab, minus any payments already received. 

Troops who do not pay in full, on-time and who do not have an Outstanding Funds Report on file for any remaining balance may not receive rewards.

5/31 Last Day to Sell Cookies
If you still have unsold cookies, after the Cookie Program has ended, you may continue to sell until this date by selling to family and friends, door to door or continuing to set up My Sales, but not with Council Organized Booth Partners. 
GSNETX Hosted TCM Training Opportunities

All TCMs must attend a TCM Training session with either their Service Unit or GSNETX. If attending a session through GSNETX, registration is required. Click one of the links below to register. Attendees will not be admitted to the zoom session if they join more than 10 minutes late.

My Sale Request Information

My Sale Booths are booth sales organized in partnership with local retailers NOT listed as a Council Booth Partner. My Sale Booths can be run as a My Family Sale or a My Troop Sale. Troops and families may NOT set up agreements with retailers until 11/14/2020 or after.

All My Sale Booths must be hosted within the GSNETX 32 County Area (listed below). Additionally, troops and families cannot approach any GSNETX Council Partner (listed below) to set up a My Sale Booth.

My Sale Request Process:

  1. Identify a store, restaurant or location that you can ask to partner with you to sell Girl Scout cookies. Don’t forget, this cannot be a Council Booth Partner!
  2. Contact the manager or representative who has the authority to give you permission to schedule a booth sale with their location. Explain that you are asking for approval to sell Girl Scout cookies at their location and what dates and times you are most interested in. 
  3. Complete the My Sale Request Form with all of the location information as well as the dates and times of the booths that have been approved and the manager’s signature.
  4. Provide your Troop Cookie Manager with a copy of the signed form at least 48 hours prior to the booth sale so that he/she can enter the request in the My Sale Portal and in eBudde, the software we use to manage our Cookie Program.
  5. The SU CPC will review the My Sale Request information, confirm that there is not already a booth approved at that location for the same date and time, and approve if it meets all requirements. Once approved, eBudde will send an  email to the TCM through the system with a notification of a change in the booth’s status.

How to enter the My Sale Request in eBudde:

  1. Log into eBudde.
  2. Click on the Booth Sites Tab.
  3. From the drop down menu, change the selection from Council Sales to My Sales.
  4. Enter the information for the My Sale Booth by clicking "Add A Location." Enter the information listed on the My Sale Request Form and click "Add."
  5. Wait for the SU CPC to review the booth sale in eBudde.

11.18.2020 eBlast Update

Hello Troop Cookie Managers,

Are you ready for the 2021 Cookie Program? This is your eBlast update from the GSNETX Product Sales Team. We’ll be communicating with you directly throughout the course of the 2021 Cookie Program through these eBlasts via eBudde to share important updates, reminders and more. Let’s dive in!

ACTION ITEMS:

Initial Cookie Orders Due 12/1/2020 at 11:59 p.m. | Troops who want to be able to pick up cookies during opening weekend of the 2021 Cookie Program (1/15/2021 - 1/16/2021) should place an Initial Cookie Order. Remember that this order is a financial commitment for the troop and families who place orders and these cookies are not returnable. Girls and troops should only order what they feel comfortable and confident that they are able to sell to customers. Troops who do not place an Initial Order will be able to start placing orders and picking up cookies on 1/20/2021.

Initial Reward Orders Due 12/1/2020 at 11:59 p.m. | Troops who place an Initial Order, should also place their Initial Rewards Order in eBudde immediately after they submit their Initial Cookie Order.

Reward Opt-In / Opt-Out Locks on 12/1/2020 at 11:59 p.m. | Troop Cookie Managers are responsible for ensuring that their troop’s settings are correct. This includes whether the troop will opt to receive rewards or opt to receive additional proceeds. Only troops who are comprised of 50% or more Cadette, Senior and Ambassador troops are eligible to opt to receive additional proceeds. Generally, troops are loaded into eBudde with default settings so it’s important that TCMs take the time to check this setting prior to the lock out date.

REMINDERS:

Council Booth Sign Ups Round 1 11/19/2020 at 12:00 p.m. | The first round of Council Booth Sign ups will open in eBudde at 12:00 p.m. on Thursday, 11/19. Troops may only sign up for Council Booth Sales if they completed the Booth Training and Agreement by 11:59 p.m. Tuesday, 11/17. Troops who want to check to ensure that they are able to sign up for council booths can look on the “Contacts” tab in eBudde for a “Booth Approved” user. Troops may sign up for up to 3 slots, with one slot per chain. I.e. One Tom Thumb, one 7-11, one Albertsons, etc. All booth sales will look different this year due to the COVID-19 pandemic and council booths are no different. Many of our council booth partners are still evaluating if and how we will be able to host booth sales. Walmart, Sam’s Club, Kroger and others are included in these council partners that will not listed when sign ups begin on 11/19. GSNETX will continue to add booth partners and locations as they are approved on our standard load schedule of Monday, Wednesday and Friday.

Cookie Concierge Deadline 11/22/2020 @ 11:59 P.M. | Troops can qualify for Cookie Concierge, a benefit provided by GSNETX, where we select your Initial Order pickup location, date and time in eBudde for you, before it opens to all GSNETX troops. This selection is based on a survey that will be sent to qualifying troops in late November. In order to qualify, troops must submit their Initial Order by 11/22 at 11:59 p.m. and meet one of the following criteria. Tier #1 is for troops who have an Initial Order with a total of 250 cases of cookies (3,000 packages) or more submitted by 11/22 at 11:59 p.m.  Tier #2 is for troops who have an Initial Order with a 300+ Per Girl Average (PGA) in eBudde at the time of their Initial Order. Tier #1 Cookie Concierge troops will be placed first, followed by Tier #2 troops, in eBudde in early December.

Volunteer Systems Downtime | An update to our existing membership system will be rolling out soon. As a result, our systems are coming down in phases this week. Troops will not have access to My GS to check their rosters during this time.

UPDATES:

Sales Materials | Service Unit Cookie Program Coordinators (SU CPC) will begin receiving their sales materials including envelopes, receipt books, printed family guides, etc., in December. Be on the lookout for more information from your SU CPC with information at that time on how you can pick up these materials for your troop. If you would like to share a digital copy of the Family Guide, make sure to check out the resources at gsnetx.org/cookies in the Cookie Seller’s section.

Initial Order Reward Long Sleeve Shirt | This shirt will be a lightweight long sleeve hooded shirt, not to be confused with a sweatshirt. If girls in your troop are eligible to receive this Initial Order Reward, make sure to confirm sizing with parents/caregivers soon as you will need to enter that information in eBudde when you place the Troop’s Initial Order Rewards. Note that if parents are concerned with sizing, the ability to comfortably layer this shirt or that it may shrink, they should request a size up as GSNETX cannot swap sizes once ordered.

FREQUENTLY ASKED QUESTIONS:

My Troop earned the Fall Product Proceeds Bonus in the 2020 Fall Product Program. Why is it not showing in eBudde? This information will be reflected in eBudde in January 2021.

My troop's bank account information is not showing up in eBudde. Is there something that I need to do? No, troop bank account information will be loaded in eBudde in January 2021.

I'm a TCM for my troop. I need to add a Cookie Pick-Up User in eBudde, when and how can I do that? A form will go live in mid-December for Troop Cookie Managers to request GSNETX add a Cookie Pick-Up User to their troop in eBudde. This individual does not need to be a member of Girl Scouts or have a background check on file. The financial responsibility of all transactions handled by this pick-up user fall to the TCM who makes the request to have them added in the system.

What can a Cookie Pick-Up User see in eBudde? They can only see the Contacts Tab and the Txn Pickups Tab in eBudde.

COVID-19 Safety Protocol for Cookie Sellers

Girls and families are given options when participating in the Girl Scout Cookie Program so they can determine the pathway that is right for them. Girls and volunteers who exhibit signs of illness may not participate in booth and door-to-door sales and deliveries.

Digital Cookie: With the help of her parent/caregiver, a Girl Scout sets up Digital Cookie to sell online. Orders opened December 11, in-person contactless deliveries will begin mid-January. This is a digital pathway
where money is not exchanged. Girls may drop cookies on front porches or engage in other contactless forms of cookie delivery. Customers may also opt to purchase and donate cookies to first responders and essential workers through our Community Cookie program through their Digital Cookie online purchases.

In-Person Sales: Starting January 15, and based on comfort level, a girl can begin selling in person. Girls may sell door-to-door, to family and friends, teammates, and beyond, asking her network of contacts to support
her goals. Girls must wear face coverings, follow proper hand sanitizing procedures, and maintain social distancing when visiting homes in her community.

Family Booth Sales: Girls and their families can work with their Troop Cookie Manager to set up family booth sales starting January 15 at local small businesses as a new way to reach more customers. Girls and adults
must wear a mask covering the nose and mouth and maintain social distance. Additionally, hand sanitizer should be available for girls, adults and customers. Parents/caregivers and Girl Scouts hosting a My Family
Sales Booth must be from the same household. No more than two adults and three Girl Scouts can be present. No non-member siblings are permitted.

Troop and Council Booth Sales: Starting January 29, girls can participate in Troop Booth Sales and Council Booth Sales with local partners like grocery stores and more. Council Booth Sale locations are secured by
Girl Scouts of Northeast Texas and troops can sign up for slots in eBudde, our Cookie Program software. Girls and adults must wear a mask covering the nose and mouth and maintain social distance. Some vendors may have additional requirements to which girls will be expected to adhere in accordance with our partner agreements. Additionally, hand sanitizer should be available for girls, adults and customers. When hosting a Troop Booth, a maximum of two adults and two Girl Scouts from two different households is allowed. There is an exception for sisters in the same troop to allow two sisters to host a booth with one unrelated Girl Scout sister from the same troop, for a total of three Girl Scouts.
